1. Introduction
This Privacy Policy explains how Leon Applications (PVT) LTD ("POSKAZ", "we", "us" or "our") collects, uses, shares and protects information when you use the POSKAZ point-of-sale system — including our website, the POSKAZ admin dashboard, the POSKAZ Android app, and the POSKAZ Windows application (together, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Account & business information
When you or your business registers for POSKAZ, we collect information such as your name, email address, phone number, username, business/shop name, and branch details. Shop administrators may also add cashier accounts, which include a display name and phone number used to deliver login credentials by SMS.
Business data you enter
POSKAZ stores the business data you and your staff enter to operate your shop: products, categories, prices, stock levels and movements, sales transactions, cashier activity, customer receipts, tax invoices, and related reports. This data belongs to you — see Section 8 of our Terms & Conditions.
Payment information
Subscription payments are processed by Paynow, a licensed Zimbabwean payment gateway. POSKAZ does not collect or store your card number, mobile money PIN, or banking credentials — these are entered directly with Paynow. We retain only the transaction reference, amount, currency and status needed to activate and record your subscription.
Device & technical information
We automatically collect limited technical information needed to run the Service, such as device model, operating system version, app version, IP address, and diagnostic/crash logs. On Android devices used for fiscalised sales, we also record the fiscal device identifiers required for ZIMRA FDMS integration.
Communications
If you contact us by WhatsApp, email, or the contact form on this website, we keep a record of that conversation so we can respond and provide support.
3. How We Use Information
- To provide, operate, and maintain the Service, including offline sync and reporting.
- To create and manage your account, shop, branches, and subscription.
- To process payments and activate or renew subscription plans.
- To generate tax invoices and meet ZIMRA/FDMS fiscal compliance obligations.
- To send cashier login credentials and important account notices by SMS or email.
- To respond to support requests and communicate with you about the Service.
- To monitor, secure, and improve the Service, and to detect or prevent fraud and abuse.
- To comply with applicable law, including tax and financial recordkeeping requirements.
4. How We Share Information
We do not sell your personal information. We share information only in the following circumstances:
- Payment processing: with Paynow, to process subscription payments.
- Notification delivery: with SMS and email service providers, to deliver cashier credentials, receipts and account notices.
- Regulatory compliance: with ZIMRA and its Fiscal Device Management System, as required for tax-compliant invoicing.
- Agents: if your shop was registered through a POSKAZ agent, that agent may see summary account and subscription status for shops they manage.
- Service providers: with hosting and infrastructure providers who process data on our behalf, under confidentiality obligations.
- Legal reasons: if required by law, regulation, legal process, or a lawful request by public authorities.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy continuing to apply.
5. Data Storage & Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted transmission (HTTPS), access controls on our systems, and role-based permissions within the admin dashboard. Data may be stored and processed on servers located within or outside Zimbabwe. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Data Retention
We retain account and business data for as long as your account is active. If you close your account or request deletion, we delete your personal and business data within the timeframe described in Section 7, except for records we are legally required to retain — such as transaction and tax records that Zimbabwean tax and financial regulations require businesses to keep for a minimum retention period.
7. Your Rights & Data Deletion
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request a copy of your business data (products, transactions and reports are already exportable to CSV/PDF from the dashboard).
- Request deletion of your account and associated personal data.
When we process a deletion request:
- We aim to delete or anonymise your account, profile, and personal data within 30 days.
- Cashier and admin accounts linked to a deleted shop are deleted or anonymised along with it.
- Some information may be retained beyond that period where we are legally required to — for example, financial and tax transaction records that must be kept for the period required by applicable Zimbabwean law, or records needed to resolve disputes, enforce our agreements, or comply with a legal obligation. Retained records are kept solely for that purpose and are not used for any other purpose.
- Deletion is permanent and cannot be undone once completed — we recommend exporting any reports you need before requesting deletion.
8. Children's Privacy
POSKAZ is a business tool intended for use by shop owners, administrators and staff who are 18 or older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
9. Cookies
This website and the admin dashboard use only essential cookies required for you to stay logged in and for the site to function correctly (for example, session cookies). We do not use third-party advertising or tracking cookies.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated "Last updated" date. Material changes will be communicated through the dashboard or by email where appropriate. Continued use of the Service after a change takes effect means you accept the revised policy.
